Stage 1: acknowledge and set expectations
Send an immediate confirmation that names the request, explains what happens next, and gives a human contact path. Do not pretend the automated response is a person.

- State the normal response window
- Repeat the most important submitted detail
- Offer an urgent or human escalation path
Step 2
Stage 2: qualify without interrogating
Ask only for information that changes the next step. For a service inquiry, that may be location, scope, timing, and preferred contact method. Save answers once so the prospect does not repeat them.

- Do not collect regulated data without the right controls
- Stop when the lead asks not to be contacted

Stage 3: route and remind
Score urgency and fit using visible rules, assign an owner, and create a reminder. High-intent requests should reach a person quickly. Lower-intent leads can receive a useful resource and a limited follow-up sequence.

Measure the whole workflow
Track response time, contact rate, qualified-lead rate, booking rate, opt-outs, and staff follow-through. A higher message count is not a success metric. The goal is a faster, clearer path to a useful human conversation.
